Restaurant no-show management: reminders, confirmation and policy
No single method removes no-shows entirely. Reminders, easy cancellation and a suitable reservation policy help you manage that risk in a more orderly way.
One reason for no-shows is a reservation being forgotten, or not cancelled in time.
A no-show is a guest who booked and did not turn up without saying so. The table sits empty, and the guest you turned away for that time has gone elsewhere. Managing it takes three layers: communication, policy and preparation.
Why it happens
The guest forgot, their plans changed but they could not find an easy way to cancel, or they booked several places at once. What these examples have in common is that timely, easy communication with the guest matters.
First layer: reminders and confirmation
A confirmation when the booking is taken and a reminder as service approaches give the guest a moment to check their plans. The crucial point is that the reminder must make cancelling easy too. When cancelling is hard, it also becomes harder for the guest to let you know about a change in time.
In ReserOne confirmation, reminder and cancellation messages move with the reservation on supported channels, and which ones are switched on depends on your setup.
Second layer: deposits and provision
A deposit or provision makes a reservation binding. But asked for on every booking, it wears on the guest. The balanced approach is to limit the policy to where it is genuinely needed:
- Parties above a size you choose
- Special evenings such as New Year’s Eve and other high-demand dates
- A rule of your own for guests who did not turn up before
Third layer: what happens when the table sits empty
This is where the waitlist earns its place: an empty table can go straight to a guest waiting at the door.
Recording the guest who did not turn up matters too. The record of that evening stays accurate, and your team knows the guest at their next booking.
Hard to manage without measuring
The precondition for managing no-shows is recording them consistently. When they are not recorded, which days, hours or channels carry more risk stays invisible.
The result depends on the policy you apply. ReserOne keeps no-shows visible in the operation and in your reports; the decisions stay yours.
